Reporting dashboards and automation for agencies and associations
For economic development agencies, industry associations, membership bodies and consultancies that rebuild the same report every month from Odoo, Zoho, HubSpot, Xero and a dozen spreadsheets. We build the dashboards and the data plumbing so the report builds itself.
Monthly report that should build itself, per client, before anything else
Fixed pilot: one dashboard set, live and reading from your systems
Products and platforms shipped, including multi-tenant SaaS for consultants
The processes we are asked to fix in agencies and associations
Reporting dashboards
Board packs, funder reports and economic indicators rebuilt by hand from exports. Dashboards that read from your systems, refresh themselves and send a snapshot on schedule, with the owner view and the public view kept separate.
Odoo, Zoho and HubSpot data you can see
The number you need is in the system but nobody can get it out without Excel. Role-specific dashboards on the API of the system you already run, including on Odoo Online where database access is not available.
Membership and stakeholder workflows
Renewals, applications, event registrations and surveys handled through email and spreadsheets. Automated flows that keep the member database, the CRM and accounting in agreement.
Productising a method
A scoring framework, a diagnostic or a model that consultants run by hand for each client. Turned into software your clients use, with your method inside it: that is what ChangeTools.ai is.
Systems we have shipped for consultants and agencies
Platforms for organisations whose output is analysis, reporting and change, built so the data work happens once.

ChangeTools.ai
A multi-tenant SaaS for leaders, consultants and HR teams running organisational change: GPT-4o-driven insights, team collaboration and subscription tiers, with real subscription and AI infrastructure underneath rather than a prototype dressed up to look like one.
Multi-tenant SaaS with subscription tiers
AI-driven insights on change programmes
Team collaboration built in
Production AI infrastructure, not a demo

Smart Lead Automation
A self-hosted n8n pipeline that takes an enquiry from a form to Sheets, classifies it with GPT-4o-mini, notifies Slack, creates the HubSpot contact and deal and the QuickBooks record, in under two minutes. The same pattern keeps a membership database, a CRM and an accounting system agreeing with each other.
End-to-end in under 2 minutes
4-system sync: Sheets, Slack, HubSpot, QuickBooks
AI classification with a reason per record
Failure alerts and a weekly summary
How many hours does the monthly report take?
What a build like this looks like in practice
Ways to get numbers out of Odoo
configuration, a BI tool on the database, or a custom app on the API; we pick after the audit
Weeks to a live dashboard set
one well-defined set of views, reading from your real systems
Question that decides the approach
does anyone need to act from the dashboard, or only look at it?
What clients say
They translated a complex SaaS idea into a clear, multi-tenant product with real subscription and AI infrastructure underneath — not a prototype dressed up to look like one.

Agencies and associations: common questions
Our data is in Odoo / Zoho / HubSpot / Xero. Do we need a new system?
Almost never. The system of record stays. What is missing is the layer that reads across them and presents the numbers the way the board or the funder asks for them. We build that layer on the APIs of the systems you already have.
Which is better, a BI tool like Metabase or Power BI, or a custom dashboard?
If people only need to look, and you can connect to the database, a BI tool is the best value. If you are on a hosted edition without database access, or people need to act from the screen (approve, assign, send), or different roles need different views, a custom app on the API is the right call. We wrote the full comparison in the Odoo dashboard post.
Can the public or our members see a version of the dashboard?
Yes. Role-specific views are the point: an internal view with everything, a board view with the agreed indicators, and a public or member view with only what is meant to be shared, all from the same data.
We are a consultancy with a method our clients pay for. Can it become software?
That is a different kind of engagement and we take it on when the method already has paying clients. ChangeTools.ai is an example: a consultant's change methodology turned into a multi-tenant SaaS. It starts with a paid build, and we talk about revenue share or equity only on top of that.
How long and how much?
A dashboard set reading from one or two systems is a fixed-price pilot delivered in two to four weeks after the Process Audit. The price moves on how many systems feed it, how many custom fields they carry, and whether people need to act from the dashboard or only read it.
Which process goes first?
Tell us which process is still manual. The first call is a working session, not a pitch.
